Communications features

Messages that belong with the learner

Send renewal reminders on the packages that include them. Scale adds a shared inbox for email and text, with owners and deadlines, in the same place as the rest of the work.

Reach the right person without leaving the work

Some messages should go out on a schedule, from the expiry dates you already keep. Others arrive as questions and need an owner. Afanor does both, without a second mailbox.

A shared inbox for email and text

On Scale, incoming and outgoing messages become a thread linked to the person and their employer.

Someone owns the conversation

Route work through teams, give it an owner, and see first-response and resolution deadlines before they slip.

Reminders that do not wait to be remembered

Write from live expiry dates. If email or text cannot reach them, a letter is ready.

Email, text, letter and support messages flowing into a shared operational view.

A closer look

What communications looks like day to day

These are the parts of the job your team can put to work straight away — focused on outcomes, not entity lists.

Shared email and text

Keep the whole conversation in one thread, with the person it is about.

  • Shared inboxes for email and text, checked before they go live
  • Replies, internal notes, copies and attachments
  • Threads linked to the right person and employer

Who owns each conversation

Give every message a home and a person, instead of hoping someone saw it.

  • Support teams and shared queues
  • A default owner, or assign it to someone by name
  • Open, waiting, closed, unread and junk — so nothing hides in a personal mailbox

Priorities and deadlines

See the work that is about to slip, while there is still time to answer.

  • First-response and resolution targets by urgency
  • A view of work that is at risk of missing a deadline
  • Types, tags and rules that send junk out of the way

Renewal messages

Write from the expiry dates you already keep, instead of a side list of who to chase.

  • Email and text templates that can carry your centre’s branding
  • A letter if email and text cannot reach them
  • A PDF ready to post, and a history of what happened to each send

How it works

Communications as part of the wider journey

Each step stays with the same people, so the next person to pick up the work is not starting from an empty page.

1

Route

Bring the message to the right team, or let a qualification rule send it.

2

Respond or let it run

Give an owner the full thread, or let the reminder schedule do the writing.

3

See what happened

Keep deadlines, delivery outcomes and the person it was about in view.

Built for the team

Useful for every role around the learner

Administrators, trainers and support staff keep their own work, without losing sight of the same person.

Training administrators

Prepare reminders from the same place you plan the diary.

Learner support teams

Keep the conversation next to the person you are helping.

Service managers

See what is open, waiting or at risk without a parallel queue in a spreadsheet.

What this changes

Less time rebuilding the picture

Communications sits with the rest of the week’s work, so you are not rebuilding the picture in another spreadsheet.

  • Stop relying on one person’s inbox for work the whole team needs to see.
  • Keep the conversation with the learner and their employer.
  • Spot unread, waiting and at-risk work before it is missed.
  • Save the weekly chase with scheduled reminders and a letter if nothing else gets through.

Getting started

Bring your process with you

We help you move across from the lists and trackers you already use, and set Afanor up around how your organisation actually works.

Frequently asked questions

Which ways can we get in touch?

Renewal reminders can use email, UK text messages and posted letters, depending on the package. Texts, letters and address lookups are bought as top-ups — there is no monthly allowance in the package. Scale also includes a shared inbox for incoming and outgoing email and text.

What if a digital reminder cannot be delivered?

If letter fallback is on, and none of the digital routes succeed, Afanor prepares a personalised letter. You can download it, or send it for colour printing and posting.

Can the team share incoming questions?

Yes, on Scale. Email and text become threads in a shared inbox, with an owner, a status, a priority, tags, internal notes and a view of deadlines that are at risk.

Are conversations kept with the person?

Yes. Threads can be linked to people and employers, so a colleague can see the relationship and the history together.

CRM

One place to know every learner

Stop keeping people in one spreadsheet and employers in another. Afanor holds who they are, how to reach them, and what still needs doing.
